Manage the day-to-day operations of the office
Organise and maintain files and records
Liaise with event venues and suppliers and arrange lunches, dinners, travel
Administrative Management (phone reception, mail management, filing documents, expenses …)
Book flights, arrange visas and do passport applications for the CEO, Monaco office staff and other staff as required
Draw up Monaco residence permits as necessary
Office Management : Liaise and negotiate with companies associated with the general functioning of the Monaco office - furniture, equipment and office supplies, insurance, repairs, purchases
Apartment searches as necessary - furniture purchases....
Preparing and editing correspondence, ordering brochures, calendars etc.
Other secretarial tasks as necessary
Family office role for CEO personal affairs
Good general Educational background
5 year’s experience as Executive Assistant – Background in the Shipping or Oil Industry is an advantage
Main skills : availability, discretion, confidentiality, versatility and reactivity. Emergency Standby for urgent tasks as necessary
IT tools : proficient in Microsoft Office
Languages : Fluent French and English required, Russian a plus
